Questions about quotes and invoices
Is a quote legally binding?
Yes, once the customer accepts it. In Australia an accepted quote becomes a legally binding contract, and in New Zealand it's a contract at that price, so extra work outside the quote needs the customer's agreement to change the price.
What's the difference between a quote and an estimate?
A quote is a set price for the job. In Australia, Business Queensland says an estimate is a rough guide to the cost that isn't legally binding and should say the price could change. In New Zealand, customers must be able to rely on a quote or an estimate, so flag any big possible change clearly and base the estimate on reasonable grounds.
How long should a quote be valid for?
Long enough for the customer to decide, short enough that your costs won't move much. What matters is putting an expiry date on it: without one you may have to honour a price that now loses you money.
Should a quote include GST?
Show the GST if you charge it. In Australia, list the GST component with the total. In New Zealand, quotes and estimates should include GST.
When should I follow up a quote?
Business Queensland suggests 7 to 14 days after you send it. In Tradies Line you can have follow-ups go out by email before the quote expires, and a text the day before.
Do I have to charge GST?
Only once you're registered for GST. In Australia you must register when your GST turnover reaches $75,000 a year, and in New Zealand when your sales reach $60,000 a year. Until then, leave GST off, and in Australia call it an invoice, not a tax invoice.
What makes an invoice a tax invoice?
In Australia, only a GST-registered business can issue one, and it has to say it's a tax invoice and show your ABN, the date, what you sold, and the GST. If you're not registered, call it an invoice.
Do I have to give an invoice if I'm not registered for GST?
Not by law, though it's good practice. You must still give a receipt for goods or services over $75, or when the customer asks.
When should the customer pay?
When your payment terms say. Put them on every invoice: how you want to be paid and by when. For example, business customers might pay in 7, 14, 21 or 31 days.
Does New Zealand still use tax invoices?
Not since 1 April 2023. You keep and give taxable supply information instead, and what it must show depends on whether the sale is up to $200, up to $1,000 or more.
