What does Tradies Line do?

It's the AI operating system and job management software for a trade business: jobs and dispatch, quotes, invoices and payments, customer records and one inbox for every message, in one place, with AI staff doing the admin. Wombo, your AI office manager, does the work across all of it when you type or talk to him, and you check and send anything that goes out.

Which trades is it built for?

Service work: call-outs, repairs, maintenance and regular visits. Electricians, plumbers, air con and HVAC, builders and carpenters on repairs and small jobs, painters, landscapers, cleaners, roofers, handymen, pool cleaners, pest control and the like. The trades on the site are examples, not a limit. It doesn't do deposits, progress claims or variations yet, so it isn't built for staged building or renovation projects.

Where does Tradies Line work?

Anywhere in Australia and New Zealand, in every city, town and suburb. It's built in Sydney by Linemill Solutions Pty Ltd, and your data is stored in Sydney. See local pages for some of the places our customers work.

Where are my calls and messages stored, and who can see them?

Calls, transcripts and messages are saved against the customer and the job. Only people in your business can see them in your dashboard, plus our team when they need to help you. Our database is in Sydney, and we don't sell your data. The Privacy Policy has the detail.

Which AI staff come with Tradies Line?

AI office manager (Wombo): does the work across the system when you type or talk to him: finds any job, quote, invoice or customer, drafts quotes and invoices from your price list for you to check and send, and updates jobs, customers and prices. He also answers website chat, WhatsApp, Messenger, Instagram and texts in your business name, books jobs when booking is on, drafts email replies and flags anything urgent to you. AI receptionist: answers the calls you can't take on the number your customers already know, day or night, finds out the job and the suburb, books it into your calendar when booking is on and texts the customer a confirmation. AI quoting: prices and drafts quotes from your own price list for you to send, and with follow-ups on, nudges customers before a quote expires. AI invoicing: drafts invoices with a pay link for you to send, and with reminders on, chases the unpaid ones.

Do I have to use the AI receptionist?

No. Jobs, quotes, invoices, payments, customers and the inbox all work without it, and Free includes no calls at all. Add calls when you want your phone answered.

Does the customer know it's an AI?

If a caller asks whether they're talking to a person, your AI tells them straight away that it's the AI receptionist for your business. In messages, Wombo says he's your AI assistant if asked. Calls are recorded, and your AI tells the caller so during the call. Our AI disclosure explains it for your customers.

What can I ask Wombo to do?

Anything you'd ask someone in the office. Find a job, quote, invoice or customer. Ask what's on tomorrow, who owes you money or which quotes are still out. Have him draft a quote priced from your price list, draft an invoice, add a job or a customer, change a price, or start chasing an overdue invoice.

Do I type to Wombo or talk to him?

Either. Hold to talk or type, from any page in the dashboard, on your phone or your computer.

Does Wombo send quotes and invoices on his own?

No. He drafts them and you check and send. Nothing goes to a customer or moves money until you say so. The one thing he sends on his own is replies to customer messages, in conversations where AI replies are on, and you can take over any time.

How does the AI receptionist handle a call?

Calls you don't pick up forward to it from the number your customers already ring. It answers in an Australian voice, finds out what the job is and which suburb, and gives a ballpark from your price list if they ask. With booking on, it puts the job in your calendar and texts them a confirmation. Every call is recorded, and the summary lands in your inbox and on the job.

Does it answer at night and on weekends?

Yes. Any call you forward to it gets answered, nights, weekends and public holidays included, and Wombo replies to messages around the clock. Calls come out of your plan's monthly allowance; Free doesn't include any.

What happens when it can't help a caller?

It takes their name, number and what they need, and tells them you'll call them back. If the job is urgent you get a text while they're still on the line. It never commits you to a firm price; that stays with you.

What if a caller wants to speak to a person?

It can't put them through during the call. It takes their details and how urgent the job is, tells them someone from your business will call back, and the lead lands in your inbox. Urgent jobs text you while the caller is still on the line.

Can I change what it says?

Yes. It works from your business name and greeting, your hours, services and prices, the suburbs you cover and your booking rules, like buffers between jobs, minimum notice and how far ahead it can book. You can upload your own documents for it to answer from, and choose its voice.

Does it give prices on the phone?

Only if you want it to, and only from your own price list. It gives the price as a guide and tells the caller you'll confirm the final price. For custom work it takes the details so you can quote properly.

What if a customer needs to change a booking?

If they ring back, your AI receptionist finds their booking, takes the new details and moves or cancels it for you. You can also change any job yourself in the dashboard.

What if it gets something wrong?

It can misjudge a call. When it isn't sure, it takes a lead for you to call back instead of guessing a booking. Every call has a recording and transcript, so you can see exactly what happened, and any job it books can be changed or cancelled in seconds. Tell us at [email protected] and we fix it fast.

Which messages does it answer?

Website chat, WhatsApp, Facebook Messenger and Instagram, all in one inbox, plus two-way texts in Australia. Wombo replies in your business name, can book the job when booking is on, and flags anything urgent to you. Email lands in the same inbox, with replies drafted for you to send.

Can I reply to customers myself?

Yes. Jump into any conversation and reply from the inbox, or switch AI replies off for that conversation. Calls, messages and emails from the same customer sit together, so you see the whole story before you answer.

Jobs, crews and the calendar

Is it for a one-person business or a crew?

Both. Free has one login, Starter five, and Pro and Enterprise unlimited. Add crews with their own calendars, move jobs between them on the day board, and send each person their day's jobs by text or email. Subcontractors don't need a login.

Does it work with my calendar and accounting?

Jobs you assign to yourself go into your Google or Outlook calendar, and on Free and Starter the AI checks that calendar before it offers a time. Invoices can go out through Xero, and booked jobs can land in ServiceM8.

Can I set up repeat jobs?

Yes. Repeat a job weekly, fortnightly or monthly, and change the pattern later from the job itself.

Can my crew use it on their phones?

Yes. It runs in the browser and installs on a phone like an app. Each tech sees only their own jobs, and on a small screen the day shows as a run sheet.

Quotes

How do I send a quote?

Build it from your price list, on a job or on its own, or ask Wombo to draft it. It goes out by email as a link to a page where your customer can view, download, accept or decline it. When they accept, it becomes a job ready to schedule.

Does it follow up quotes for me?

Yes, if you turn follow-ups on. Customers who haven't answered get a reminder by email or text before the quote expires, and it stops once they accept or decline.

Do quotes and invoices handle GST?

Yes. They carry your ABN or NZBN and a GST line, with prices shown GST-inclusive or exclusive the way you set them.

Invoices and getting paid

How do customers pay an invoice?

Every invoice you send carries a pay link. With TradiesLine Pay on, your customer pays by card, Apple Pay or Google Pay, or with Afterpay or Klarna where available, and the money lands in your own account. The invoice then marks itself paid. Without it, the page shows your bank details instead.

How does invoice chasing work?

Turn reminders on and unpaid invoices get followed up for you: three emails first, then, with TradiesLine Pay connected, two texts and a short AI call on weekdays that texts the pay link. It stops the moment the invoice is paid, and you can switch it off for any single invoice.

Does it work with Xero?

Yes. With Xero connected, invoices go out through Xero and come back marked paid on their own, and Xero sends its own reminders for them.

Customer records

Can I bring my existing customer list?

Yes. Upload a spreadsheet, up to 1,000 rows at a time, and it works out which column is which. You check the match and import.

Can I keep commercial clients separate?

Yes. A commercial client gets a company record with its ABN or NZBN and its people linked to it, and every job, quote and invoice stays on that record.

Can I search everything?

Yes. Search by name, phone, email, or quote or invoice number, across customers, companies, jobs, quotes, invoices and your price list.

Setup and your phone number

How long does setup take?

Minutes. Add your business details, services and prices, then set call forwarding with your carrier if you want your phone answered.

Do I need a new phone number?

No. You keep the number your customers already ring and forward it to Tradies Line on busy or no answer with one code from your carrier. Turn it off the same way. Your carrier may charge for forwarded minutes; we don't.

How do I forward my phone to Tradies Line?

Set conditional call forwarding on your mobile for busy, no answer and after hours. Most carriers let you do it from the phone settings or with one dial code, and your dashboard has the steps for the major Australian and New Zealand carriers, with a code to switch it back off.

What happens to my calls when I travel overseas?

Your AI receptionist keeps working, because forwarding happens on your carrier's network, not your handset. Watch roaming: if your phone is on overseas, your carrier can charge for each call that forwards. Switch roaming off, or divert every call before you fly. Your dashboard shows the divert-all code for your carrier and the code to switch it back.

Plans, cancelling and refunds

Can I try it before I pay?

Yes. Free is a real plan, not a trial: no card and no time limit. Add calls when you want your phone answered, or move to a paid plan when you need more. See the plans.

What if I use up my allowance?

Each plan has a monthly allowance of calls, texts and AI credits. If one runs out before the month resets, it pauses until you top up or the month rolls over, so there's no surprise bill.

How do I cancel?

Cancel a paid plan any time from your dashboard settings, no lock-in. You drop to Free at the end of your billing period, your data stays, and Free keeps working within its own limits.

What's the refund policy?

We don't refund part months, since you keep your paid plan until the period ends. If we charge you and can't get your AI receptionist working, we fix it first and refund the affected period in full if we can't. Unused top-ups expire after 30 days and aren't refunded. None of this limits your rights under Australian or New Zealand consumer law. The full policy is in our terms.
