Book the job once, not three times

Seamless integrations: your jobs, without the double booking

Every booking you take by hand gets retyped into your calendar, your job management software, then your invoicing. Here is how Tradies Line drops the double entry by sending the job straight into the tools you already run.

You take the call. You book the job. Then the real admin starts.

The same job gets entered into your calendar, then into your job management software, and finally into your invoicing at the end of the week. Same customer, same address, same phone number, keyed in three times. Here is how to enter it once and let it turn up everywhere else on its own.

Double-entry is a tax on your evenings

A booking you take by hand is a small job sitting on top of the actual job.

You write it on the pad in the ute. Later, you put it in the calendar so you do not forget it. If you run ServiceM8 or Simpro, you copy it in there too, so the office and the crew can see it. Then on Friday night, you build the invoice from the same details all over again.

Say it takes ten minutes a job to move those details around, and a wrong digit in a phone number or a street name every now and then, that sends someone to the wrong address. Across a busy week, that is a couple of hours you do not get back, plus the odd call-out that goes sideways. None of it is the work you actually get paid for.

Sound familiar?

It is not that you are disorganised. It is that the same information has to exist in three or four places, and you are the one carrying it between them.

What we mean by “it just turns up”

Tradies Line answers the calls you cannot get to and books the work. The part that saves the evenings is what happens next: it hands that booking straight to the tools you already run.

It does not replace ServiceM8. It does not replace your calendar or Xero. It feeds them. You keep working exactly as you do now, and the booking appears where you would have typed it in by hand.

That is the whole idea. One receptionist out front, taking the job and passing it through to the software you already pay for. You are not learning a new system. You are removing the retyping.

What connects today

Here is what Tradies Line can push a booking into right now.

  • Your calendar (Google or Outlook). Switch on calendar sync, and the jobs land on your Google or Outlook calendar with the customer, address, and time. It also reads your busy times, so the assistant does not offer a slot when you are already booked. Calendar sync comes with Solo.

  • ServiceM8. Every job you book, whether the assistant takes it or you enter it yourself, is created in ServiceM8 with the customer, address, scheduled time and your notes. Your crew and office see it without waiting for a text from you. ServiceM8 is included in the Teams plan.

  • Xero. Send an invoice from Tradies Line, and it goes out through your own Xero to your customer. When they pay, the invoice marks itself as paid and the job updates automatically. No chasing, no double keying at tax time. Xero is on the Teams plan.

  • Simpro, Fergus, AroFlo, ServiceTitan and QuickBooks, on request. These are set up for you rather than switched on with a button. Tell us what you run, and our team wires it up for your account on Teams or Enterprise, so booked jobs land in your system and invoices land in your books the same way.

You do not have to use all of it. Most operators pick the one or two tools they already live in and let the rest sit. The point is that the tool you already run is the one the job shows up in.

One job, from the call to paid

Picture a hot water job that comes in while you are already at another site.

The assistant answers, takes the customer’s name, the address and what has gone wrong, and books a time. That booking lands on your calendar, so you can see it between jobs. It also lands in ServiceM8, so whoever runs the office can prep it, and the crew knows where to be. You never touch the keyboard.

You do the job. You send the invoice from Tradies Line before you have packed up the ute. It goes out through Xero, the customer receives it, and when they pay, it is marked as paid and the job closes.

One call, one booking, and it moved through your calendar, your job management software and your books without you entering it a second time. That is a normal job with the double entry taken out of it.

Why it matters when you are on the tools

Think about a normal Tuesday. You are under a house or up a roof, hands full, phone buzzing.

With the job flowing through your software, a few things stop being your problem. The office sees the new booking the moment it is made, so nobody rings you to ask what came in. Dispatch and job history stay in one place, rather than being split across a notepad and an app. Your books stay right because the invoice is built from the same booking, not retyped from memory. And you are less likely to double-book yourself because your calendar is checked before a time is offered.

It is the same idea as never missing the call in the first place. The call is answered, the job is booked, and it then lands where it belongs without you stopping work to move it there.

That is the difference between software that gives you another screen to keep you up to date, and software that quietly keeps the screens you already have up to date for you.

A quick word on trust

Fair question: if it is pushing jobs and invoices around, what is it actually touching?

It only adds the bookings it takes. It does not go through and change your existing calendar events. With Xero, the money still runs through Xero, as it does today. Tradies Line marks the invoice as paid once your customer has. You connect ServiceM8 and Xero yourself in a couple of taps, and you can disconnect them the same way. The tools stay yours.

Common questions

Do I have to change how I work?

No. You keep running ServiceM8, Xero or your calendar the way you do today. Tradies Line books the job and feeds it in, so there is nothing new to learn.

What if I use Simpro or ServiceTitan?

These are configured upon request. Let us know what you use, and our team will activate it for your account on any paid tier instead of you doing it yourself.

Does this replace my job or accounting software?

No. It is a receptionist that answers the calls and books the work, then pushes it into the tools you already pay for. It sits in front of them, not over the top of them.

Which plan do I need?

Calendars sync, ServiceM8, and Xero integrations are all available on the free tier, and the on-request tools will come with the Starter.
